Background
Alderman & Company, a leading investment bank, and its subsidiary Alderman & Company Capital were operating with an outdated email service from Rackspace. The service was not only insecure due to multiple attacks. It also provided poor service and multiple downtime occurrences. All the team members were working in remote model, the company was looking for an effective system to collaborate as they were using different systems for different purposes.
Key Challenges
- The primary challenge was the absence of a secure, stable, and scalable email server. Additionally, the lack of an effective collaboration system for the remote team members posed significant operational challenges. Also, the data was stored on third party cloud storage service providers with limitations on storage limits and number of users. There was no unified data back-up available for the CRM and other data.
- The subsidiary company Alderman Capital being a US SEC registered and member of FINRA and SIPC had multiple compliance requirements on record keeping which wasn’t provided by existing tools.
Approach
UIConnect executed a comprehensive approach to assist Alderman & Company, beginning with the need-gap analysis, solutioning and then deployment of Microsoft 365 as the new and modern workplace system.
- As a priority all team members email, contacts and calendars data were migrated to the Microsoft Exchange/Outlook without any disruption in the emails while DNS was being mapped to the new email server. The transition to new system was smooth and all the team members were easily able to adapt the system and function normally without any change in their daily work routine.
- Outlook, then was integrated with HubSpot CRM for capturing the leads to contacts journey and manage communications. After the email migration, UIConnect took over the transfer of data from third party cloud storage to MS 365 Teams and respective OneDrive as per the team members and organizations requirements.
- Post data migration, UIConnect team setup different workflows like new employee on-boarding and introduced the team members to different apps for ease of shift and task management.
This implementation enabled the company with a robust email system, high-capacity data cloud storage, communication and many other productivity enhancement tools to collaborate seamlessly with necessary security features.
